Provision of Fully Integrated Procurement Purchase to Pay, eSourcing & Contracts Management Software (Software as a Service)

The overall aim is to purchase (software as a service) a fully integrated procurement software suite that will add value to the procurement team and the wider organisation. The software should be intuitive and easy to use reducing customer ordering time and procurement engagement on low value transactional tasks. In addition to freeing up valuable resources, the software will support the procurement team to dedicating more time to value add activities. The proposed fully integrated solution must be currently available and “in use” within other organisations which can be referenced to confirm functionality. The organisation currently uses Integra e-series as its P2P software. Approximately 10% of orders currently go through as fixed price catalogue items and once approved by the relevant budget holder are sent directly to the supplier. The other 90% of ‘free text’ orders come to the Procurement Team who then manually source the most appropriate supplier and confirm the price, before the purchase order (PO) can be generated. * E-tendering / e-sourcing. The e-tendering software currently in use is EU Supply. * Reporting is currently carried out through manual intervention by running predefined ‘scripts’ against Integra e-series to extract non pay spend reports * Contracts Management. The contracts management facility within EU supply is under utilised and not currently set up to record supplier contract review meetings or to provide alerts when a contract is due for re-tender. * Accounts Payable. The intention is that the integrated procurement system will interface with Integra at the Accounts Payable stage.
